Terms and Conditions

We've tried to keep these Terms fair, clear, and human. They exist to protect both you and us — not to catch you out. The short version is: use Expensio honestly, treat other users with respect, and we'll do our best to give you a reliable, trustworthy service.
By creating an account or using Expensio, you agree to these Terms. If something isn't clear, just get in touch and we'll explain it.
1. Acceptance of Terms
By creating an account or using Expensio in any way, you confirm that you are at least 18 years old and that you agree to these Terms and Conditions and our Privacy Policy. If you do not agree, please do not use the service.
2. Description of Service
Expensio is a personal finance management platform that allows users to track income and expenses, manage budgets, categorise transactions, and generate financial reports.
The service is provided "as is" and "as available" without warranties of any kind — express or implied. We do not guarantee that the service will be accurate, complete, reliable, uninterrupted, or fit for any particular purpose. You use the platform entirely at your own risk.
We reserve the right to update, modify, or discontinue any part of the service at any time without notice, though we will endeavour to inform you of significant changes where possible.
3. Your Account
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to:
- Provide accurate and up-to-date registration information.
- Notify us immediately of any unauthorised use of your account.
- Not share your account with others or create accounts on behalf of third parties without authorisation.
- Keep your password strong, private, and stored securely. You must not share your password with anyone. We will never ask you for your password. If you believe your password has been compromised, change it immediately.
- Take full responsibility for any users you invite to your account. You are responsible for ensuring that invited users are trustworthy and that you manage their access appropriately. Any actions taken by invited users within your account are your responsibility. You can remove invited users at any time from your account settings.
- Maintain your own backups of any important data. While we take reasonable steps to protect your data, we are not responsible for any loss of data and recommend you export your records regularly.
4. Acceptable Use
You agree to use Expensio only for lawful purposes and in a way that does not infringe the rights of others. You must not:
- Use the service for any fraudulent, illegal, or harmful purpose.
- Attempt to gain unauthorised access to any part of the platform or its related systems.
- Upload or transmit malicious code, viruses, or any other harmful software.
- Upload, share, or submit any adult, explicit, or sexually explicit content of any kind.
- Scrape, copy, or redistribute any content from the platform without permission.
- Attempt to reverse engineer, decompile, or extract the source code of any part of the platform.
5. Data and Privacy
Your privacy matters to us. The financial data you enter into Expensio is yours. We do not sell your personal data to third parties. Please refer to our Privacy Policy for full details on how we collect, store, and use your information.
Expensio does not connect directly to your bank accounts. All transaction data is entered manually or imported via CSV files that you upload. You are solely responsible for the accuracy of the data you enter or import.
5a. Data Export
As the account owner, you can request a full export of your data at any time from your account settings. The following terms apply:
- Who can export — only the account owner (the person who created the account) can request an export. Invited members and other users do not have access to this feature.
- What's included — the export is a CSV file containing your payments, recurring payments, and account information.
- How it's delivered — once generated, you will receive an email notification with a secure download link. The CSV is not attached to the email directly for security reasons. The link is valid for 24 hours, after which the file is permanently deleted from our servers, regardless of whether it has been downloaded.
6. Billing and Subscriptions
Expensio operates on a freemium model. Some features are available for free, while others require a paid subscription. The following terms apply to paid plans:
- Refunds — if you are not satisfied with your paid subscription for any reason, you may request a full refund within 14 days of your initial payment, no questions asked. Refund requests made after 14 days will be considered at our discretion on a case-by-case basis. To request a refund, contact us at [email protected].
- Cancellation — you may cancel your subscription at any time. We do not lock you in to any contract. Upon cancellation, you will retain access to your paid features until the end of your current billing period, after which your account will revert to the free plan. You can export all your data at any time before, during, or after cancellation.
- Price changes — if we increase the price of a subscription plan or introduce new pricing tiers, existing subscribers will have their current price honoured for as long as their subscription remains active. We will not automatically move you to a new pricing tier. However, if you cancel your subscription, you will lose your grandfathered price and will be subject to the current pricing should you choose to resubscribe.
- New features — we may add new features to paid plans from time to time. We reserve the right to adjust what is included in each plan. Where possible, we will notify subscribers of any significant changes.
- Payments — all payments are processed securely by Stripe. We do not store your card details. If your payment is declined, it may be because your card type or issuer is not supported by Stripe, or due to insufficient funds or bank restrictions. Please contact your bank or try an alternative payment method if this occurs.
- Failed payments — if a payment fails, we will attempt to notify you. If payment cannot be collected, access to paid features may be suspended until the outstanding payment is resolved.
- Termination for violations — if your account is suspended or terminated due to a breach of these Terms, no refund will be issued for any remaining subscription period.
7. Free Plan Commitment
We believe everyone deserves access to good financial tools. The free plan is a genuine, long-term part of Expensio — not a trial or a temporary offer.
- We will always offer a free tier. We will not remove the free plan without giving users at least 30 days notice.
- If we ever reduce what is included in the free plan, we will notify affected users in advance and give them reasonable time to decide whether to upgrade or export their data.
- Free plan users will never be charged without their explicit consent. You will not be moved to a paid plan automatically.
- We will never show intrusive advertising to free plan users. The free plan is supported by the existence of paid plans, not by selling your attention or data.
8. Intellectual Property
All content, design, code, and materials on Expensio are the property of Devespresso, trading as Expensio, and protected by applicable intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to use the service for personal, non-commercial purposes only.
Nothing in these Terms transfers any intellectual property rights to you. You may not use our name, logo, or branding without prior written permission.
8a. User-Uploaded Content and Copyright
Expensio allows you to upload files — such as CSV bank statements — to import financial data into the platform. You are solely responsible for ensuring that any file you upload is one you have the right to use.
- By uploading a file, you confirm that you own it or have the necessary rights to upload and use it within Expensio.
- Expensio does not claim ownership of any files or content you upload. Your data remains yours.
- You must not upload files that contain content owned by a third party without their permission, or that infringe any copyright, trademark, or other intellectual property rights.
- If we receive a credible report of copyright infringement relating to content you have uploaded, we reserve the right to remove that content without notice.
- Expensio is not liable for any copyright infringement arising from files or content uploaded by users. Any such liability rests solely with the user who uploaded the content.
9. Service Level and Uptime
We are committed to keeping Expensio reliable and available. We aim for a high level of uptime and do our best to ensure the platform is accessible whenever you need it.
- We target 99% uptime on a monthly basis, excluding scheduled maintenance windows.
- Where possible, we will announce planned maintenance in advance so you can plan around it. Emergency maintenance may occur without prior notice.
- In the event of unexpected outages, we will work to restore the service as quickly as possible and communicate updates through our usual channels.
- We do not offer service credits or compensation for downtime, but we take availability seriously and will always be transparent about issues.
10. Support
We want every user to have a good experience with Expensio. If you run into any issues or have questions, we are here to help.
- We aim to respond to all support enquiries within 48 hours on business days.
- Support is provided in English via email at [email protected].
- We do not offer phone support at this time.
- While we will do our best to resolve every issue, we cannot guarantee a resolution for all technical problems, particularly those caused by third-party services, browser compatibility, or factors outside our control.
- Have an idea or need a feature? You are welcome to submit feature requests by email at [email protected]. We read every suggestion, though we cannot guarantee all requests will be implemented.
11. Disclaimers
Expensio is a tool to help you organise and visualise your financial data only. It does not provide financial, tax, legal, or investment advice of any kind. Any figures, reports, or summaries shown within the platform are based entirely on data you have entered — they are unverified and should not be relied upon for any financial decision. You should always consult a qualified professional before making financial decisions.
We make no warranties, express or implied, that the service will be uninterrupted, error-free, secure, or free from viruses or other harmful components.
From time to time, we may need to take the service offline to perform server updates, maintenance, or improvements. We will do our best to notify users in advance where possible and to keep any downtime to a minimum. We are not liable for any inconvenience, loss, or damage caused during scheduled or emergency maintenance periods.
We shall not be liable for any failure or delay in providing the service where such failure arises from circumstances beyond our reasonable control, including but not limited to power failures, internet outages, natural disasters, acts of government, cyberattacks, or third-party service disruptions (force majeure).
12. Limitation of Liability
To the fullest extent permitted by law, Expensio and Devespresso shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the service, even if we have been advised of the possibility of such damages.
In particular, we are not responsible for any loss of data — including financial records, transaction history, or imported data — or any financial loss, however caused, arising from your use of the platform. Expensio is a data tracking tool only and does not interact with your real finances in any way.
If you choose to delete your account, an import, a transaction, or any other data within the platform, that action is taken entirely at your own discretion and is your sole responsibility. We are not liable for any data lost as a result of your own deliberate actions within the platform. We strongly recommend exporting your data before performing any deletions.
To the extent that any liability cannot be excluded by law, our total liability to you for any claim arising out of or in connection with these Terms or your use of the service shall not exceed the total amount you have paid us in the 12 months preceding the claim. If you have not paid us anything, our total liability shall not exceed £10.
13. Indemnification
You agree to indemnify, defend, and hold harmless Devespresso, trading as Expensio, and its operators from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or relating to:
- Your use of or access to the service.
- Your violation of these Terms and Conditions.
- Your violation of any third-party rights, including intellectual property or privacy rights.
- Any content or data you submit, upload, or import into the platform.
14. Third-Party Links and Services
The platform may contain links to third-party websites or services. These are provided for convenience only. We have no control over their content, privacy practices, or availability, and we accept no responsibility or liability for them. Accessing any third-party link is done entirely at your own risk.
15. Termination
We reserve the right to suspend or terminate your account at any time, without notice, if we believe you have violated these Terms or if your use of the service poses a risk to others or to the platform.
You may delete your user — your personal login profile — at any time from your settings. This is distinct from deleting an account (a financial workspace); one user can own or belong to multiple accounts. When you delete your user:
- Your user is soft-deleted — it becomes inaccessible but your data is retained for 30 days.
- You can restore your user at any time within that 30-day window by contacting us.
- After 30 days, your user, any accounts you own, and all associated data is permanently and irreversibly deleted and cannot be recovered under any circumstances.
- We strongly recommend exporting your data before deleting your user.
We shall not be liable to you or any third party for any termination of your access to the service.
16. Service Shutdown
We intend to run Expensio for the long term. However, in the unlikely event that we need to shut down the service permanently, we commit to the following:
- We will give users at least 60 days notice before the service is closed.
- During the notice period, you will be able to export all your data before the service goes offline.
- Any active paid subscriptions will be cancelled and prorated refunds issued for any unused portion of the billing period.
- We will not disappear overnight — we will always communicate clearly and give you time to prepare.
17. Dispute Resolution
We would always prefer to resolve any issue directly and fairly before things escalate. If you have a complaint or dispute, please contact us first at [email protected] and give us a reasonable opportunity to resolve it — we aim to respond within 5 business days.
If we are unable to resolve the dispute informally within 30 days of your initial contact, either party may then pursue the matter through the courts as described in Section 18.
18. Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of England and Wales.
19. Severability
If any provision of these Terms is found to be invalid, unlawful, or unenforceable by a court of competent jurisdiction, that provision shall be deemed severed from the rest of the Terms. The remaining provisions shall continue in full force and effect.
20. Entire Agreement
These Terms and Conditions, together with our Privacy Policy, constitute the entire agreement between you and Devespresso, trading as Expensio, regarding your use of the service. They supersede any prior agreements, representations, or understandings — written or verbal — relating to the same subject matter.
21. Changes to These Terms
We may update these Terms and Conditions from time to time. When we do, we will revise the "Last updated" date at the top of this page. For significant changes, we will notify you directly. Your continued use of Expensio after any changes constitutes your acceptance of the updated Terms.
